Factors to Consider When Choosing a Speaker

What is Your Purpose?

What is the most wanted response you would want from your audience?


How much lead time do you have until you need the speaker. What is the day and time that the speaker will be needed?


What is your budget, day and time the speaker is needed in.

Type of Public Speaking

What type of presentation will work best for your audience, motivational, persuasive or informative? Would a hands on presentation or work shop be more effective.


What are the speakers qualifications. Your speaker should have an audio copy of their presentation. Request a sample of your speaker / presenter that you can listen to on your computer, CD or DVD. Also, references from others who have heard them speak can help with your decision.

Negotiate the Fee and Other Considerations

Are there travel and transportation needs?

Are there accommodations and meals to be provided?

Are there special considerations?

  • Will the speaker be able to sell products at the back of the room?
  • Is there going to be an audio or video recording of the presentation?
  • Is the recording going to be for sale?
  • Are there special needs for the presentation (PowerPoint, Keynote)
  • Are there going to be handouts?
  • What if there is a cancellation?

All of these need to be addressed and once ironed out, they need to be included in a written contract or agreement. Many times pencils are sharper than memories.

Meeting the Audience Needs

    Your public speaker will want to know more about the audience.

    Provide information on any other speakers that will be before or after them and what they will be speaking about.

    Let the speaker know the demographics of the audience. This will make it possible to tailor the speech to the audience needs.

    Information on the company, brochures, news letters and any other helpful information should be provided. If there is any facts and figures that need to be included in the lecture, these should be provided too.

    Is there going to be an audio link? Will there be a video link so others at another location can view the lecture? Will it be a black and white camera or color. The speaker should know this in advance too. These can affect the choice of colors and style the speaker wears to the presentation.

    Be prepared to evaluate the speaker. Have a printout for the audience to evaluate the speaker. This is for both you and the speaker. It makes it possible to know if the speaker met the needs of the audience. It will also provide information how well the speaker was received.
